Collecting Personal Information From Guests

"The Hotel shall acquire Personal Information from Guests in an appropriate and fair manner based on the purposes of use specified below.
Personal Information obtained by the Hotel from Guests shall include name, company name, occupation, address, telephone number, email address, date of birth, gender, nationality, and other information needed to provide services."

Purposes of Using Personal Information

The Personal Information the Hotel obtains from Guests shall be used for the following purposes:

  • 1. To provide Hotel services such as accommodations, dining, banquets, and more
  • 2. In the event that the Hotel needs to contact the Guest for inquiries regarding reservations or other items in the agreement
  • 3. For analyzation to help improve Hotel services and products When performing statistical analysis, data will be used in a format that does not allow for individual identification.
  • 4. To notify Guests of Hotel services, new products, and restaurant information
  • 5. To improve Hotel services and the value and quality of our products
  • 6. To provide services and products that meet Guest demands
  • 7. For other duties performed by the Hotel

Disclosure of Personal Information

The Hotel will not disclose, provide, or share Personal Information with a third party without the consent of the Guest except in the following cases:

  • 1. When the Guest has consented.
  • 2. When it is necessary to disclose or provide Personal Information under the law or other guidelines.
  • 3. When it is necessary to disclose or provide Personal Information to protect human life, safety, and property, and it is difficult to gain the Guest’s consent.
  • 4. When it is necessary to cooperate with the national or local government in executing public affairs, and when notifying the guest or publicizing the purpose of collection risks interfering with the affairs in question
  • 5. When Personal Information can be disclosed or provided as statistical data or in another format that does not allow for individual identification
  • 6. When providing information to a subcontractor as stated in “Consignment of Duties” below
  • 7. When providing information to parties listed in “Shared Use of Personal Information” below

Consignment of Duties

The Hotel may consign some of its business tasks and thus provide personal information on guests to the contractor as necessary; however, in such cases, the Hotel shall list matters concerning the handling of personal information in the agreement with the contractor, and will supervise the contractor properly to ensure that the necessary safety measures are implemented.

Shared Use of Personal Information

The Hotel may share personal information on guests with the following related companies in order to provide our guests with better services.

  • 3. The Hotel uses SSL (Secure Sockets Layer) encryption to send and receive personal information online with guests on the Hotel website.

Disclosure, Correction, Removal, Suspension of Use, and Deletion of Personal Information

When a guest requests (1) disclosure, (2) correction, deletion, addition, or (3) suspension of use or removal of their own personal data possessed by the Hotel in the manner prescribed, the Hotel will, upon confirming that the person making the request is the person in question (or an authentic proxy), take the following actions within a reasonable period and scope.
However, all or part of the request may be refused in cases in which there is a risk of harm to the life, physical safety, property, or other interests of the person in question or a third party; a risk of significant interference with the Hotel’s business; or the risk of any other violation of the law.

Fill out this application form, attach documents necessary for identifying the person in question (or their proxy), and return it to us. We will respond by mail only to the person in question.
However, please be aware that, if we are unable to confirm the identity of the person in question (or proxy), we may refuse the request.
